Identifying and understanding current challenges

Introduction:
This case study showcases the migration of 51 Wellness Warehouse stores in South Africa onto ERPLY POS and Back Office. The rollout and implementation of this project took place over 11 months and included detailed scoping, project management and delivery of system customisation as well as custom built integrations to their warehouse ERP platform, NetSuite, and their newly launched customer loyalty App, Spaaza.Requirements
Gathering and Scoping of Project:
Our team collaborated with multiple third parties and stakeholders to fully scope out workflows and requirements for custom development to provide Wellness Warehouse with a seamless flow of data between three integrated systems.The objective of this implementation was to:
  • Migrate Wellness Warehouse stores to a ERPLY POS and Back Office system
  • Ensure alignment of stock quantities across ERPLY and NetSuite through ensuring all stock movements were fully integrated between the two systems
  • Streamline inventory distribution from Wellness Warehouse Distribution Centres to stores all across the country
  • Provide a fully integrated, omnichannel loyalty experience for customers
Our team attended multiple meetings each week to ensure that all third parties were aligned and that timelines were being met.A staging environment was set up to fully realise all of the requirements and three mock go lives were carried out before rolling the integrated systems out to a live environment.
Challenges:
Over the timeline of this project, multiple challenges were identified. Despite a tight timeline, these challenges were all carefully considered and managed.
Setup and Training Across Multiple Stores across South Africa:
With 51 stores being onboarded, training was carried out in multiple stages. Head Office staff consisting of Area Managers and Operational Managers were trained onsite in both Cape Town and Johannesburg over a period of four days.Once all mock go lives were completed and the go live date confirmed, we did online training with all store staff.All training sessions were recorded and provided to Wellness Warehouse.

Implement

Detailed planning for a smooth transition

In providing Erply POS, we have helped implement an effective and highly responsive, centralised, cloud-based solution that is continuously updated and easy to use. We also provided comprehensive training for the staff in all aspects of the POS and Back Office software, including inventory management. Cape Gardens now have their tills upgraded and running Erply with integrated printing with no issues.

A structured, tailored training program was drawn up in which we trained all their staff during their peak trading period in November. We had a dedicated person on standby at each branch to ensure the Go-Live went smoothly at the start of December. Due to our detailed planning, in-depth training and the cloud-based system, the changeover took place without a hitch in a matter of weeks.

Continuous improvements and development

Once we started the project, we realised they could take advantage of a new module that was added in the last year – the Warehouse Management System (WMS). This module is an integrated technology designed for stock management: in Cape Garden’s case, they were able to use the WMS app on handheld tablets to scan products directly into stocktakes, customer orders, or look up live stock (from a database of 32,000+ products) across their estimated 5,000m2 nursery.

A specially tailored Shopify integration is also currently in progress, allowing Cape Garden to leverage their real-time inventory across all their locations and automate online order processing.
