Identifying and understanding current challenges

Cape Garden Centre was founded in 1996 and specialises in the production and distribution of plants and garden supplies. Their nursery farm in Vredendal supplies their four retail locations across Cape Town, as well as wholesale customers and their own eCommerce store.

The previous point of sale and inventory software, which they had for over 10 years, became prone to freezing, lagging and crashing due to the lack on ongoing updates. To keep the system running, the growing database also required ongoing investments in upgraded servers at head office. With the existing legacy systems being installed on-site, meant they faced challenges with integrating their online store and being able to have real-time oversight over stock in various locations, including the status of plants at various stages of growth at their farm.

Implement

Detailed planning for a smooth transition

In providing Erply POS, we have helped implement an effective and highly responsive, centralised, cloud-based solution that is continuously updated and easy to use. We also provided comprehensive training for the staff in all aspects of the POS and Back Office software, including inventory management. Cape Gardens now have their tills upgraded and running Erply with integrated printing with no issues.

A structured, tailored training program was drawn up in which we trained all their staff during their peak trading period in November. We had a dedicated person on standby at each branch to ensure the Go-Live went smoothly at the start of December. Due to our detailed planning, in-depth training and the cloud-based system, the changeover took place without a hitch in a matter of weeks.

Continuous improvements and development

Once we started the project, we realised they could take advantage of a new module that was added in the last year – the Warehouse Management System (WMS). This module is an integrated technology designed for stock management: in Cape Garden’s case, they were able to use the WMS app on handheld tablets to scan products directly into stocktakes, customer orders, or look up live stock (from a database of 32,000+ products) across their estimated 5,000m2 nursery.

A specially tailored Shopify integration is also currently in progress, allowing Cape Garden to leverage their real-time inventory across all their locations and automate online order processing.
